Join Our Team: Special Events Coordinator

About the Role

We are seeking motivated and creative Special Events Planners to support the delivery of a dynamic and inclusive festival. Working under the supervision of the Festival Director and Assistant Festival Director, successful candidates will play a key role in coordinating logistics, supporting performers, and helping create a welcoming and engaging experience for all attendees.

Key Responsibilities

  • Plan and coordinate festival logistics, including site setup, infrastructure, performer management, and vendor relations.
  • Support day-of-event operations, ensuring effective communication between stage crews, volunteers, emergency services, and accessibility partners.
  • Collaborate with Indigenous Elders, knowledge keepers, and Two-Spirit leaders to respectfully integrate Indigenous protocols, ceremonies, and land acknowledgments into festival programming.
  • Work directly with performers and artistic collaborators to assist with scheduling, hospitality, and technical requirements.
  • Manage administrative tasks such as tracking applications, organizing documents, and maintaining project timelines using digital project management tools.
  • Assist in developing and implementing safety and accessibility plans to ensure events are inclusive and welcoming for all participants.
  • Contribute creative ideas to enhance the festival experience and encourage community participation.

Qualifications & Skills

  • Strong organizational and time-management skills.
  • Excellent communication and teamwork abilities.
  • Interest in event planning, arts and culture, or community programming.
  • Ability to multitask and adapt in a fast-paced environment.
  • Sensitivity to and respect for diverse communities, including Indigenous and 2SLGBTQ+ communities.
  • Basic proficiency with digital tools (e.g., Google Workspace, project management software) is an asset.

$24.50/hr

Approx 35 hrs per week for 8 weeks

Start Date: May 21

End Date: July 15

Eligibility: Applicants must be between 15 to 30 years of age at the start of employment, in accordance with Canada Summer Jobs (CSJ) guidelines.
